Accez.Cloud’s service management system enables you to create bookable services for amenities like gyms, laundry facilities, swimming pools, meeting rooms, and more. This comprehensive guide walks you through the two-step process of creating services and configuring them for your properties.

Understanding Services vs Property Services

The service creation process involves two distinct steps:

General Services: These are the base service types you create once (e.g., “Gym Access,” “Laundry Service,” “Pool Reservation”). Think of these as templates.

Property Services: These are property-specific configurations of your general services, where you set pricing, availability, and schedules for each individual property.

This two-step system allows you to efficiently manage the same service type across multiple properties with different pricing and rules.

Types of Services You Can Create

Common property services include:

  • Fitness Centers: Gym access and personal training
  • Laundry Facilities: Washer and dryer reservations
  • Swimming Pools: Pool time slot bookings
  • Meeting Rooms: Conference space reservations
  • Parking Spaces: Additional parking spot rentals
  • Storage Units: Extra storage space
  • Pet Services: Dog walking areas, pet washing stations

Part 1: Creating General Services

Step 1: Navigate to Services

From your dashboard, click on the Services icon in the sidebar. The services page will open, showing any previously created services.

Part 2: Creating Property Services

Now that you have a general service created, it’s time to configure it for a specific property.

Step 1: Navigate to Property Services

Click the Properties icon in the sidebar and select the property where you want to add the service. Navigate to the “Services” tab within that property.

Step 2: Add First Service

Click the “Add First Service” button. A comprehensive form will open for configuring your property service.

Step 3: Select Your Service

In the Service Name dropdown, you’ll see all general services you’ve created. Select the service you want to configure for this property.

Free vs Paid Services

Free Service: Toggle the “Free Service” button to true if you want residents to use this service at no cost. The service will be available for booking without any charges.

Paid Service: Leave the toggle off to set up a paid service with your chosen pricing method.

Understanding Pricing Methods

Accez.Cloud offers three flexible pricing methods:

1. Quantity-Based Pricing

Best For: Services charged by weight or units Example: Laundry services charged per kilogram

How It Works:

  • Specify how many kilograms or units each rate covers
  • Residents select the quantity they need
  • System calculates total cost based on quantity

Configuration:

  • Enter the rate (e.g., $5)
  • Specify what quantity that rate covers (e.g., 5 kg)
  • Residents can book multiples of this quantity

2. Hourly Pricing

Best For: Services billed by usage time Examples: Gym access, meeting room reservations, recreational facilities

How It Works:

  • Define how many hours each rate covers
  • Residents select their desired time slots
  • Each hour booked consumes capacity from maximum reservations per day

Configuration:

  • Enter the hourly rate (e.g., $10)
  • Specify hours covered (e.g., 1 hour)
  • Set time slots when service is available

3. Daily Pricing

Best For: All-day access services Examples: Full-day pool access, all-day gym pass, daily parking

How It Works:

  • Residents book the service for an entire day
  • One flat rate provides unlimited access for that day
  • No specific time slots needed

Configuration:

  • Enter the daily rate (e.g., $25)
  • Set which days are available
  • No time slot scheduling required

Important Note: Daily pricing services don’t require service availability scheduling since they provide all-day access.

Step 4: Enter Service Rate

After selecting your pricing method, enter the rate you want to charge residents. Consider:

  • Market rates in your area
  • Operating costs
  • Competitive pricing
  • Value to residents

Step 5: Add Service Description

Provide a detailed description specific to this property’s service offering:

  • Hours of operation
  • Rules and policies
  • What’s included
  • Any restrictions
  • How to access the amenity

Step 6: Set Availability

Check the “Service Available for Booking” box if you want the service to be immediately bookable after creation. Uncheck if you want to configure it but make it available later.

Step 7: Configure Service Schedule (For Quantity and Hourly Services Only)

Set Days of the Week: Select which days the service is available (Monday through Sunday)

Set Time Slots: For each available day, configure:

  • Start time
  • End time
  • Duration of each booking slot

Maximum Reservations Per Day: Set how many reservations can be accepted per day to manage capacity effectively.

Remember: Daily pricing services skip this step since they provide all-day access.

Step 8: Create the Property Service

Click “Create Service” to finalize your property service configuration. The service is now set up and will be available to residents based on your availability settings.

Click the three-dot menu icon next to any property service to edit:

Deleting Services

Remove services that are no longer offered or needed using the delete option in the three-dot menu.
